 Approval of January and February Meeting Minutes – Bridget made a motion to approve the minutes at April’s meeting and Charles seconded. Motion passed unanimously.

 Committee Reports:     Youth Committee      Update on ongoing events (XLT, Ski Trip, NCYC, etc.)

TAODodge Ball Tournament – St. Philip will open at noon. St. Thomas gave Patty all items needed to run tournament. Will run two games at a time. Knights of Columbus fell through, but someone from St. Philip will cook hot dogs and hamburgers for us and keep them warm, as well as fixings. Marks donating extra cups from their wedding. Will sell candy, chips, snack packs and soft drink cans (special now on CVS) and water.  Will work with St. Philip volunteer on pricing. Will have banner for team pic. Have several brackets on poster boards to place around gym. Will pull stands out on stage for safe seating. Registration table with team names. Remind teams what they need for Sunday. Set up trophy table. Have 4 refs. Deacon Tim is in charge of pic. Have adults help with stopwatches. If can start before 5 minutes up, then do. First round then break. Charities invited to send representative to tournament. Will have music for breaks and between games.

The Gathering – February went very well. Next one is in the chapel on April 21. Lee Roessler is available for the April Gathering. Would like to have Fr. Jeff and Fr. Bob and maybe some other priests to help with confessions so all who want to go can go. Big turnout due to a unified effort to get more people involved. Zack will check into sound in chapel for the April Gathering. Need to plan TAO’s for next year so that folks can get it on their calendars.

NCYC – All registration materials out.  

Update on high school retreat

June 1 at St. Philip. Theme – The Great and Powerful God. 10-10. Have a speaker scheduled, Brenden, and gives an awesome prolife talk (DRE at St. Cecilia in Cincinnati).

Youth Minister Committee

A youth minister gathering is scheduled for April 15 at St. Pius. Fr. Baiju will prepare an Indian meal for the ministers. It’s scheduled for 4:30-7 pm. Team will arrive by 4 pm. Need to get email invite to Jamie to send out.

Board Term updates – Please let Jamie know in the next few days. If there will be openings then need to begin brainstorming names and put together a bio for them to be submitted to the Bishop for him to appoint to the Board.

 New Business

Budget Allocation – Zack proposed that in an upcoming meeting to look at anticipated budget and divide it up between the ministries that the Board oversees. Jamie informed the Board that the budget review will be in April. Zack offered to keep track of funds for upcoming year to help Board better manage funds. Maybe have food drives for concession food or fundraisers with groups who usually come.

o    Update on ongoing events (XLT, Ski Trip, NCYC, etc.)

§  TAO

·         Martin Luther King Jr. Prayer Service – Went well. Nice prayer service. IHM was there with around 20 youth, St. Patrick’s brought about 10 youth. The youth were part of entrance procession. Sr. Janet was pleased with our participation. Jamie would like to talk with Zack and Chas to see what their thoughts are on continuing our participation in this event. Karen Gutzeit asked about incorporating a blessing from the Bishop for those attending the March for Life. Not something that could be done that evening, but Sr. Janet was open to consider adding something about it to next year’s event.

·         Dodge Ball Tournament – Info has gone out about this. CCH asked about a limit to the number of teams. Since looking at a 16 team tournament, need to figure out how to limit. Fr. Bob suggested 1 team per grade as a limit per school/group. Jamie emailed the Young Adult Advisory Board meeting but hasn’t heard back.  St. Philip’s Boosters are on board, just need to know how many people. Deacon Tim is still waiting to hear from St. Mary Boosters. The Knights of Columbus De Jaco is willing to help with the food – they are waiting to hear from someone on the organizing committee. Fr. Bob said he’d make sure that the start-up costs for the concession stand are handled. Jenn is handling reservations. There will be an article in the Messenger this weekend on it.  Winning team would receive TAO shirts, with cheap prizes for the second and third place teams.

·         The Gathering – This Sunday. Lee Roessler is doing the music, Fr. Jeff is presumably leading adoration. An email blast went out about this, as well as a reminder email.

§  Ski Trip – Went well.

§  NCYC – Have all info to send out, but waiting for forms to be available from NFCYM to send everything out. Jamie may send out forms without NFCYM since people are requesting information.

§  NCCC – No news. Jamie will ask Isaak to talk with the Young Adult Advisory Board about this.

o    Update on high school retreat

§  Co-leader has resigned. Bridget is looking for someone new in order to continue. Hoping to figure it out by the end of the month so can continue working on the retreat. Doesn’t have to be a co-leader, but would like to have a young adult male for balance. Still hoping for June. Have donations for food and a general flyer for the retreat. Retreat is from 8 am-10 pm at St. Philip June 8 or 9 or the end of June.  Bridget needs Board members to be chaperones for the retreat in case youth ministers aren’t there to serve in that role.

§  Dodge Ball Tournament coming out this weekend (Feb. 15)

·         Youth Minister Committee

o    A youth minister gathering is scheduled for April 15 at St. Pius. Will ask Fr. Baiju to prepare an Indian meal for the ministers. It’s scheduled for 4:30-7 pm. Team will arrive by 4 pm.  Charlotte suggested Dewitt Jones DVDs as part of the evening.

o    Louis worked on database for youth ministry with info as updated as possible through last summer. Jamie is happy to share this resource. The office may have an intern who could help, but with the move in October, the intern will be helping quite a bit on that.

 Old Business

·         Budget – The budget will need to be shared among the different ministries the Board oversees. The amount this year was $1000.

 New Business

·         Charlotte raised awareness based on her development training that Board members were responsible for what is voted on legally, even when not present at a meeting, and can be sued. Also, most board members are expected to make a financial contribution to support the work of the organization. Charlotte wanted us to be aware of the legal ramifications, especially with Ski Trip and Dodge Ball Tournament that we sponsor. She will check into this more. She thinks it would be good if in or with the appointment letter to the new Board members that they know their responsibilities of being on the Board. Jamie will check into this as well as the possibility of changing the name from “board” to something else. Included in this is the need for Board members to commit to attending Board events.

·         Talked through some suggestions on what programs we offer in order to best meet the needs of those we’re ministering to (youth, ministers).  How can we wisely use our time, energy and funds?

·         Board terms – 3 people terms expiring end of June (Jenn Ledonne, Jacob Elkins, Patty Kues). Jamie asks that those members please begin discerning whether or not they’re called to be reappointed to the Board for another 3 year term. They are asked to give their decision at the March Board meeting. At the March meeting we would begin discussing who would fill any openings. At the April Board meeting names would be shared so that Isaak and Jamie submit names to the Bishop. After the Bishop appoints people, they are then called and asked if they’ll accept the appointment. Nominees are not to be contacted in advance so they don’t expect to be appointed. The goal is that all appointments are made/accepted by June so they are available at the July Planning Meeting.

·         Fr. Bob would like to discuss at the next meeting that we have a youth committee that would meet to discuss what the needs are and help the Board with knowing the needs to help ensure we’re meeting the needs. Many years ago this was the case (separate youth and adult committees), but they merged to a single commission.

·         Youth 2000 now falls under the Office of Catechesis and Formation. The office will be providing support for the retreat; the retreat team will continue to organize the retreat.

§  TAO

·         Martin Luther King Jr. Prayer Service – We just show up, and whatever youth show up will be part of entrance procession carrying white flowers. Board members asked to be present.  Date: January 20 at 7:30 at the Cathedral. Jamie will send reminder flyer/email to parishes and schools. The youth go out after event for a meal. Suggest to make the invite spontaneous, but concern over letting parents know in advance for planning purposes. Will promote that will do in advance, and will go to Skyline on Dixie Hwy in Ft. Wright after event.

·         Dodgeball Tournament – At St. Philip’s hall. Patty has committees so all can help since will be a big event. KofC DeJaco Council will help concessions. Patty gave out a list of what things are needed. 8 kids to a team, with up to 2 subs. $5/person. Event is at 2 pm on March 17. Teams choose which charity they will play for. Would like teams to come up with own t-shirts (either all same color or specially made – up to them). Each will have a team captain. Does not have to be co-ed. Using St. Thomas’ equipment from their dodgeball tournament. Jamie will talk with the Young Adult Advisory Board on January 16 to see if they would be willing to be referees; need at least 8 people. Fr. Bob will also ask his Booster organization. May want to have adults so can better “control” games. Think should be diocesan charity, but maybe teens would feel passionate about their own, so could ask about it when register. Free admission for spectators. Do we give TAO shirts to winners, with something cheesy for 2nd and 3rd place winners. Try to get priest and/or seminarian teams as well. Patty has done great job in organizing this. Jamie can do much of the event promotion. Maybe get people to sponsor food such as JTM and AirHead factory. Charlotte will help but can’t lead. JTM is sponsor for Bridge for Life. Maybe check with Skyline. Jenn will handle Team Sign-Ups. Fr. Bob will check with Knights to see if they’ll coordinate concessions and work with Patty on it. Charlotte will work on getting some kind of sponsor for food, t-shirts, etc. Fr. Bob and Deacon Tim will work with their parish Boosters to get refs. Need to cut-off teams at 16 teams – would be about 4-5 hour tournament. Will promote limited space and will go from there. Need emcee for day; Boosters will be asked to help with score table and as timers. Maybe have projector to project info onto wall for “real-time” brackets. We have VERY small budget; hoping to find sponsor to cover cost of event, with profits going to scholarships for NCYC or toward lowering NCYC fee per person.

§  The Gathering – February will be adoration. Still waiting to hear about music from Lee. May want to rethink having a December TAO because of exams for teens, and if move up it may conflict with TMC’s end of finals party. Despite only 9 people showing up it went well. Nel Schafer said she would be willing to bring her choir chamber for things. Zack would need some people to come early to get things ready day of the event. Jamie will update the flyer and resend it to youth and campus ministers. Is there anything more we can do to get teens there? The question becomes is it worthwhile if small number. All agree that yes, it is worth it, but would like to have more so have more teens there. Chas will emcee.

§  Ski Trip – Jamie has forwarded the information to all youth and campus ministers. Jamie will get announcement into the Messenger. Hoping that parish secretaries will get info into bulletins.

§  NCYC – Jamie met with NDA who seems very receptive, and will definitely promote it. They’ll steer girls to parishes with youth groups, but will also take own group. Jamie updating registration info. No forms are available online from NFCYM. The cost will be $450/person. Jenn brought some items back from NCCYM for Board to use.

§  NCCC – This conference run simultaneously with NCYC, and the office wants to get a group together to attend. They will be talking with the Young Adult Advisory Board members about this. This could also include talking with TMC’s Campus Ministry and NKU’s Newman Club as well as parishes sharing with their young adults.

o   Update on high school retreat

§  Have schedule and have gotten decent YCET retreat donations but don’t want to put it toward retreat. She’s gotten some donations for food. Hoping by middle of February to send email to churches with info. Looking for June 8-9. Trying for end of school but before GSP.

·         Budget – Since we don’t have XLT anymore, grant work Deacon Franzen was doing won’t work. Since XLT has more credibility, not sure if TAO would garner same respect from Catholic community. Office submits budget requests. Have requested budget increases for youth, but hasn’t come through as much. Have about $1000 for year, spend about $150 on planning day, $50-$100 for TAO per month (6 events), need money for YCET retreat, need money for YM gathering at Barleycorns (or something similar).

·         TAO Shirts – need more shirts. Maybe check with Forresters to sponsor. Wait to order unless get a sponsor.

·         FB page – Zack trying to push. Please make sure all Board Members “like” page and send him info to be shared on the page.

      • TAO – “The Gathering” December 16 at Thomas More, 6:00 – 7:30 p.m.
Fr. Jeff will lead Adoration. Peter (?) will serve as emcee in Chas’ place. Lee Roessler will provide the music. Jamie will arrange for a $50 stipend for Lee. Inexpensive drinks and snacks will be served.

Jamie suggested the possibility of inviting student liturgical musicians from TMC to provide music for TAO. She will check with Rebecca Wells at TMC.

On January 20, TAO will attend the Martin Luther King, Jr. Prayer Service at the Cathedral. Youth will carry white carnations in the entrance procession. We had no volunteers to help with music. Board members will help facilitate the entrance procession.

The dodge ball tournament will take place on Sunday, March 17 from 2:00 p.m. until ??? at St. Philip in Melbourne. Committees will be formed at the January meeting. All board members will be needed to serve on a committee. Fr. Bob will ask the Knights of Columbus for assistance with concessions. Publicity will begin in January. Zack will update the flyer/create a poster. Jamie will contact the Young Adult Advisory Board , the NKU Newman Club, and TMC Campus Ministry to recruit referees. Registration will require participants to fill out liability waivers. Jamie will check on insurance. Jamie will draft the letter to be sent to high schools, parishes, etc. Patty will send the details to be included in the letter. Should we try to include the seminarians in some way? Form a team? Include them as one of the choices to benefit from the tournament winnings? 

      • Ski Trip – No info on this until beginning of January; it’s first weekend of February
      • NCYC – Jamie presented at the recent high school principals’ meeting and met with campus ministers/religion dept. chairs from four of the high schools. She will meet with the remaining campus ministers and dept. chairs in early January. The response has been positive so far, though several schools indicated factors that are challenges to their participation, i.e. lack of funds, lack of time to coordinate, etc. Jamie learned that the NCYC registration fee has been increased for 2013, therefore it will be necessary to charge $450 per person. Registration materials should be ready in January with registrations and initial payments due in March.
    • Update on high school retreat
      • Bridget is concerned about funding for this retreat. YCET funds are low. Could some of the youth ministry budget be allocated for the retreat? This item will be placed on January’s meeting agenda.

PB&Jam – Nov. 18; Jamie has flyer and it was sent to Messenger and parish bulletins and will send it to youth ministers; youth bring items to make sandwiches while musical groups playing (hoping for 2 groups) or background music; talked about having someone call about PB&Jam and TAO nights prior to event for personal invite – would like Youth Minister Committee to do; still looking for musician to play for TAO adoration nights; maybe ask for someone with musical talent to build/lead a group; ask music directors for ideas for people to lead praise & worship section of adoration (upbeat songs, transition to slower meditation, background music and maybe 1-2 songs involved in adoration, transition to praise & worship); have someone lined up for next adoration as a backup

Holy Hour - make sure to take time for quiet time with Jesus; Fr. Jeff sent email with suggestions to include opportunity for Sacrament Reconciliation; Jamie suggested teaching the teens over course of year with TAO to learn how to be silent in front of Blessed Sacrament and what Holy Hour should look like; committee will work on this piece

Ski Trip – No info on this until beginning of January; it’s first weekend of February

NCYC – Committee meeting today; goal is to keep cost low as possible; looking for $399 to include hotel, bus, food, hoodie, registration; going up Thursday and return on Saturday night after closing Mass; leave around noontime on Thursday, arrive in Indianapolis around 2:30, students spend time in thematic park; working to get more high schools on board with this; Jamie and Isaak want to speak at principals’ meeting as well as speak to campus ministers and religion department chairs; will need coordinator at each high school to take care of paperwork and attend with students; Jamie and Isaak will also ask campus ministers and religion department chairs to stream the Friday morning opening session in their classes and possibly entire school; need to get kids excited about the opportunity; promo videos on website; scholarships will be available; goal is to make initial contact with everyone in early January with approximate costs; registration packets will go out in early February that will include scholarship information; Diocese usually gets 3-4 scholarships from Catholic Youth Foundation, and Diocese also gives scholarships; maybe churches or Knights of Columbus could help fund as well

 DIOCESAN YOUTH ADVISORY BOARD

MEETING MINUTES  ---   THURSDAY, OCTOBER 11, 2012 at 3:30 P.M.

 Attendance:    Zack Hinger, Patty Kues, Jenn Ledonne, Deacon Tim Britt, Jamie Schroeder

Absent: Chas Marks, John Kidwell, Bridget Kaiser, Fr. Bob Rottgers, Fr. Jeff Von Lehman, Jake Elkins, Charlotte Boemker, Matt Krebs, Isaak Isaak

 The meeting started at 3:37 pm.        Opening Prayer – Zack Hinger

Approval of September Meeting Minutes, Motion to approve – Zack, seconded – Patty, unanimously approved.

 Committee Reports:   Youth Committee

TAO – Zack will create flyers for each event. Service and Dodgeball will be in color, rest will be on bright paper. Flyers given out TAO to those attending. Usual cost was around $80 per event, so there is some money for printing and snacks.

October - Nate Egan is musician from Archdiocese of Cincinnati, with praise and worship experience. He has all equipment he needs for evening. Arrive at 5 for sound check. Zack will bring laptop. Patty talked to Jamie about cookies and punch for after event. Aldi Grocery cookies recommended. Patty getting laptop from Bridget for event. Talked through icebreaker for evening and logistics of room. Wear TAO shirts to every event.

November – Peanut Butter & JAM. Trying to have two music groups for evening. Zack will talk with Donna Heim and Patty will talk with Charlotte about her nephew (John Guth) about their music groups participating. Want to make sure there is live music. Need to bring peanut butter and jam just in case. Talking to Rose Garden and No. KY Emergency Shelter about accepting food made at event. Jenn will check with John 15:12 Ministries as well. Zack will create flyer to promote.

January - Martin Luther King Jr. diocesan event – Jamie received information from diocese (Sr. Janet Bucher) of what their event will look like. They would like us to participate in their event as our monthly event for that prayer service. They would like youth participation in procession. She’s pleased we’re supporting this event. Zack will contact her to see how we can best participate. There’s an essay contest for junior and senior high students. Jamie would like to see it open to youth groups as well. Zack will ask Sr. Janet about it.

March – St. Patrick Day Dodgeball tournament at St. Philip in Melbourne. St. Thomas School has all items needed for tournament so two games can be going on at once. Need to get info out soon. Playing for Catholic Charities. Decide how to break out prizes. Need to determine teams, brackets, as well as promotion logistics. Begin promoting in November. Diocese can offer concessions with money going to TAO. May need officials, but should be covered by YAB.

April – Original date was not available. Need to approve April 14 if using TMC. Zack suggested keeping original date and finding new location. Jamie suggested using TMC’s new chapel. Patty suggested using small chapel. YAB needs to finalize date.

Calla Alexandra – Jenn offered musical artist Calla Alexandra as a possible musician for TAO event. She lives in Nashville

Ski Trip – No news

NCYC – Planning underway. Getting head start on promoting, especially to high schools as well as high schools. Isaak and Jamie working on meeting with Campus Ministers, Religion Teachers and Principals and hoping to offer presentations to students. Setting up separate committee with people who have years of experience (Tina Klare, Donna Heim, Jenn Ledonne). Open to others on YAB if interested. First meeting in early November. Hard promotion begins after the holidays. Goal to have all materials ready by December. Goal is to keep price same as 2011 or lower it to make it more affordable. Last two $480/person. 2009 in Kansas City, 2011 in Indianapolis. Leave middle afternoon on Thursday, with conference going on Thursday night, all day Friday, all day Saturday. We would leave Saturday night after Closing Mass. Want to ask high schools to stream Friday morning general session.

High School Retreat – Nothing.

Messenger Article – December. Might want to advertise upcoming events. Jamie learned odd number of pictures is better. Depending on flyer, it may print nicely or not. Should include pictures from past events.

Youth Minister Committee----No status, trying to meet to discuss.

At September’s meeting, Charlotte offered to write article for adults. Should be half page.

 

Old Business

YAB Meeting Dates/Times – Jamie talked with Jake Elkins. He is only available to meet in the evenings after 6 preferably Tuesdays/Thursdays. He’s willing to help with Youth Ministers Committee. Thursdays seemed to be ok for everyone. Jamie suggests sticking with 2nd Thursday of the month from 3:30-5:30 pm.  Meeting dates: November 8, December 13, January 10, February 14, March 14, April 11, May 9.

MEETING MINUTES

November 8, 2011

 

In attendance:

Charlotte Boemker, Deacon Jerry Franzen, Isaak Isaak, Bridget Kaiser, Tina Weidner

Klare, Patty Kues, Jenn Ledonne, Charles Marks,   Fr. Bob Rottgers, Jamie Schroeder,

Absent:

Matt Krebs, Jacob Elkins, Fr. Jeff Von Lehman,

 Jenn Ledonne opened the meeting with a prayer at 3:35 P.M.

 Motion to approve October meeting minutes by Fr. Bob.  Seconded by Jerry.

 Committee Reports:

Spiritual

XLT:  Approximately 62 youth attended the October XLT (Exalt).  November’s XLT

will be the send-off for NCYC.  The theme will be “Called to Glory”.  Someday Saints

from IHM will provide the music. Chas will be the emcee.  The speaker will be Alicia

 Baehr from the Pregnancy Center in Cincinnati.  In January the IHN youth group will

provide the music.

.Quarterly masses- The December Youth Mass has been cancelled due to Diocesan

policy on additional Sunday or Holy Day masses.  It will be rescheduled. It was

suggested to try again on February 9, possibly centered on a Feast Day. 

 YCET- The team currently has seven confirmation retreats scheduled.

Diocesan Events:

 NCYC-The conference will be held November 17-20.  The chaperone meeting will be

held this evening at St.  Joseph Church.  All rooming lists, bus lists, bus captains,

emergency contact information, schedules, etc., will be available at this meeting.  Those

who ordered hats will receive them this evening.  Diocesan t-shirts and Airhead candy to

trade will be distributed on the day of departure.

 Jr. High Youth Rally: TMC is no longer a feasible location.  Fr. Bob offered the

recreation building at St. Phillips in Melbourne.  There are no Diocesan files remaining

from the original rally held years ago.  Tina will try to discern if it is realistic to host this

in February.

 March For Life - There are 2 options for youth buses to attend the March for Life for

 parishes and youth groups.  The first bus will leave on Saturday morning, January 21 and

return early morning Tuesday, January 24.  Cost is $190 and will include bus, two nights’

 lodgings, breakfast and one diner and all tips.  The second bus will leave on Sunday,

January 22 ands return early January 24. Cost is $145.00 and will include one night’s

lodging, bus, dinner, breakfast and all tips.  Anyone interested should contact Tina for

reservations.  Charlotte is looking into the possibility of purchasing/making scarves for

anyone in the diocese attending the March.

 Advocacy:  It was noted that we need to advertise our events further in advance to be

included in parish bulletins.  It was also suggested that perhaps we email minutes to all

campus/youth ministers each month, although they could not be emailed until they

are approved at the next month’s meeting.

 Old Business:

Board Positions:  Jacob Elkins may be able to attend December’s meeting but will not

be available at this time second semester due to college classes.

 Grant Writing:  Nothing to report

  NEW BUSINESS: -None
